Logging into a different computer (First Time)

This extra procedure may be needed when logging into a computer other than your regular computer. This may only be needed if the user’s regular computer was included in the processes of converting the office to Active Directory during the first half of 2022. These extra steps are needed due to a difference in the Windows user profile name that will get created on the “different computer” the user is now trying to access. These are the steps to use with a computer that has already been configured for use in this office.

Windows Logon

  • At the Windows logon screen click “Other User”.
  • Enter your full email address as the user name.
  • Enter your current password.
  • Expect the login to take longer than usual due to user configuration files being downloaded to this “different” computer.
  • Do not login again at the original computer until addressing the process below titled “Previous Computer Housekeeping”.

MS Office License Activation

After resetting your password the same password switch back to the MS Office change password prompt and exit that screen by clicking the X to close the window then sign in again using your onMicrosoft.com email address and your regular password expecting it to work without prompting for a new password.
  • When prompted for “Stay signed in to all your apps” click the link in bottom left for “No, sign in to this app only”. (This instruction may be changed at a later date).
  • Exit and relaunch MS Word to confirm functionality.

Outlook Email

  • Open Control Panel
  • Open Mail applet
  • Delete any existing Outlook profiles
  • Close the Mail applet
  • Launch Outlook
  • Enter the users name as the profile name (ie:PhilP, RhondaB etc)
  • Enter normal email address and password when prompted
  • Expect the onMicrosoft.com version of the email address to be suggested but change that to be the normal email address (try the drop down list).
  • Select “Exchange” from the list of mail server types.
  • Expect to see “Account successfully added”
  • Click “Done”
  • Test Outlook for sending and receiving email.

Previous Computer Housekeeping

  • After confirming the user is functional on the newly assigned computer the old computer should be considered for the following clean-up actions.
  • If the spelling of the profile folder at c:\users\<username> on the user’s original computer and the newly assigned computer do not match, then follow these steps to prevent possible corruption of the user account.
  • Login to the original computer with an admin level account other than the original user’s account.
  • Delete the original users account from that computer, verify the incorrectly named profile folder is deleted.
  • Login with the original users account if it is needed on the original computer in order to establish the correct profile folder name.
  • Test MS Office license and Outlook email for the original user on the original computer.
